What Compliance Elearning Records You Should Keep

Elearning compliance training generates records that can be required to be displayed by regulators. So what needs to be kept and where can it be kept to cause least problems later.

Completion Certificates

This completes the module and an outlet can store completion certificates in PDF format that have been named by outlet staff with their names, title of module and date completed. Storage of certificates in individual named folders makes easy work of retrieval.

Assessment Scores

Keep the raw score for each assessment alongside the pass mark for the relevant course, especially if the person has narrowly passed the course. Also note if the person has required a second attempt at a course, as this will show that proper assessment of the elearning has taken place.

Timestamps and Module Version Numbers

Record of Completion for each Module, including Date of Completion and the Version that they were using. The content of Modules is subject to change over time and SM&CR training and competence requirements expect Firms to be able to evidence that all relevant staff have been trained on the most up to date version of a Module.

Acknowledgement Logs

You should keep separate records of the various acknowledgements of policies that various courses request the learner to confirm that they have read.

Handling Missing Records

If you are unable to locate any missing records for your elearning compliance training courses, record the missing records immediately with a note on the actions that you took to try and locate them.

These records need to be kept for at least 6 years, and possibly longer depending on the specific requirements of your regulatory framework.
